DOCUMENT LIFECYCLE MANAGEMENT –
HARMONIZING ARCHIVED DATA

A harmonization of your archived data is recommended and necessary if inconsistencies occur between the data in the SAP database and the archived data. Regular evaluations and analyses of the SAP data as well as already archived data are part of many company processes and require a consistent designation of the data.

How can such inconsistencies arise? Oftentimes, the SAP database structures of a company have grown inconsistently over the years. In so-called harmonization projects, companies decide to standardize this SAP data. The data is mapped accordingly – for example, converted to G / L accounts or company code structures. Archived data that is related to the newly mapped SAP data must then also be renamed in the same way. This downstream step is also called conversion of the archived data.

A harmonization of the archived data goes through the following phases:

Analysis phase

  • Analysis of which archiving objects are affected by the harmonization

Concept phase

  • Definition of the mapping rules by which the archived data is converted

Installation phase

  • Conversion of the data archiving files according to the mapping rules
  • Reconstruction of indexes

Split and Mapping of your archive files –
harmonization during carve-out projects

Harmonization of archived data can also take place in the context of carve-out projects: If parts of a company, for example a plant, are sold, the relevant SAP data and the archived data must be extracted and migrated. In order to access the corresponding archived data, it is often necessary to split the previous archiving files. Afterwards, it may be necessary to map the archived data in the same way the SAP data in the target system is mapped.
